How we use your information.

Fee gets help from other companies to produce its answers. This page explains what applies in the private beta today, which companies are involved and how to reach us.

Current scope
Private beta
Updated

In plain words.

  1. We save your email address when you sign up.
  2. Once you have an invitation, we also save your account.
  3. In the app for Mac and Windows, your chats and your memory stay on your computer unless you turn on “Sync chats with the web”.
  4. Memory is off until you turn it on.
  5. To produce an answer, Fee uses other companies, and some of them can process data outside the EU.
  6. Photos and other images you attach can be processed outside the EU.
  7. We do not train any AI of our own on your conversations. What the AI services we use do with what is sent to them is governed by their terms.
  8. Fee learns from how answers are received. We do not link what is saved to your account. You can turn this off in Settings.
  9. You can delete a chat, or your whole account, yourself in Fee.
  10. Questions about your data? Write to hello@flatfee.one.

Who is responsible.

Flatfee AB (company registration number 559508-0739) is the data controller, responsible for your personal data. This covers the private beta of Fee and the sign-up on flatfee.one. The full notice for public launch follows once the final retention schedule is approved.

What we save.

  • When you sign up: your email address (stored encrypted), what you want to use Fee for and that you have given your consent. We recognise when someone joins twice, without saving a second copy of the address.
  • When you use Fee: your email address, your account number in Fee, what you ask Fee and what you choose to send along. If you log in on the web, you stay logged in for 30 days. Memories Fee saves about you are stored encrypted.
  • Usage statistics: for every answer, which account it was for, which service produced it, when it happened and how much it used. The statistics never contain the text of your messages.
  • What happened in a task: in the app for Mac and Windows, when Fee works in a folder: which steps were taken, how much was used, when it happened, what you approved and a report you can read. The report contains short codes that show whether something was changed afterwards, but not the text of your question.
  • To run and protect the service: selected events that are needed to find errors and stop abuse.
  • Websites you publish: the pages themselves, and the replies people send through a form on them. Replies are kept for 90 days unless you choose another time. A published website is hidden from search engines by default and always says that it was made with Fee.
  • To make Fee better:

The desktop app and Fee in your browser send short technical signals. They count which features you use, whether you give an answer a thumbs up or down, whether an answer seemed to work, and errors and response times. This is on by default, and you can turn it off in Settings. We do not link what is saved to your account, and it does not contain what you write. Single rows are kept for 45 days, then only daily totals for up to 400 days.

On this website we measure how fast pages load, script errors, whether the sign-up form was started or submitted, which language and type of page it was, if a page was not found, if a visit came from an invitation link, and the domain, never the full address, that referred a visit. This measurement uses no cookies. The only cookie the site sets remembers the language you choose, for one year.

We also run automated checks from our own servers against flatfee.one and the app to measure uptime and response time, never using your account or your chats.

  • If you report a problem: we receive what you write yourself and, only if you tick the box “Attach this chat”, the chat as well, together with a list of recent error codes. Nothing is sent unless you choose to send it. Do not include anything you do not want us to see.

Why, and on what legal basis.

  • To manage sign-ups and email you when you can start: your consent (Article 6(1)(a)).
  • To give you Fee, your account and your login: the agreement with you about the beta (Article 6(1)(b)).
  • To keep the service working and safe, find errors, limit abuse and give support: our legitimate interest in a working and safe service (Article 6(1)(f)).
  • To learn from how answers are received, using counts without text: our legitimate interest in making Fee better (Article 6(1)(f)). You can object by turning it off in Settings.
  • To send news and tips about Fee: your consent (Article 6(1)(a)), only if you ticked the box. You can withdraw it at any time.
  • To keep records that the law requires: a legal obligation (Article 6(1)(c)).

You always decide what you write or attach to Fee. If you share information about your health or other sensitive matters, you do it to get help, and we use it only to answer you.

Where your data is handled.

In the browser, your chats, your memory, your attachments and your saved answers are kept on our own server, at a Swedish hosting company. In the desktop app, they are kept on your computer. If you turn on “Sync chats with the web”, your chats and your memory are also kept on our server, and the memory is the same in the app and in the browser. Saved answers have their own switch, “Sync saved answers”. Other companies help us with the rest. Some of the processing can take place outside the EU/EEA.

Fee does not currently offer an option where everything is processed inside the EU.

Do not use the beta for information that has to be processed in a fixed region.

Photos and other images you attach can be processed outside the EU.

To produce your answers, Fee uses carefully selected providers of computing capacity.

WhoWhat they doWhere
Our hosting companyRuns our own server, where your chats, memory, attachments and saved answers are kept.A Swedish company. The server stands in a data centre in Stockholm.
Our login and account serviceHandles login, your account details, statistics about use and technical error reports. No fixed region.
GoogleGets your email address and profile, only if you log in with Google.Chosen by Google.
Our email serviceSends our emails.Within the EU.
Providers that produce the answersGet your question and the text Fee reads from what you attach. Attached images can be processed outside the EU.Some in the EU and some outside the EU. Which one answers can change from one answer to the next. Where a provider is outside the EU, its terms for transfer apply, such as standard contractual clauses.
Search and weather servicesGet a short search phrase when Fee looks something up for you. Fee tries to remove email addresses, ID numbers, phone numbers and street addresses first, but it does not catch everything. A weather service gets the place name.Outside our control.

How long, and removing yourself.

We keep your data only for as long as it is needed. Your chats, your memory, your attachments and your saved answers stay until you delete them, or until you delete your account. A chat you delete stays in Recently deleted for 30 days, so that you can undo it, and is then deleted for good. An answer is also kept for up to 24 hours in a temporary store, so that it can be shown again if the connection drops. Backups are kept for up to eight weeks. You stay logged in on the web for 30 days. The counts that Fee learns from are kept as single rows for 45 days, then as daily totals for up to 400 days. Technical error reports are kept for 30 days. The statistics about use, which the daily limit and the invoice basis rest on, are kept for 13 months and are then deleted.

Your sign-up is removed when you ask us to, or when the private beta closes, whichever comes first. Email hello@flatfee.one from the address you used and we will remove you. Your IP address (the address your internet connection has) is used only to limit abuse as it happens and is never written to the list.

To delete your account, open Settings in Fee and choose “Delete account”. You can choose “Delete in 7 days (you can undo)” or “Delete now”. With 7 days nothing is removed until the date shown, and you can stop it until then. We then remove your chats, your memory, your attachments, your saved answers, your published pages, your logins and your account. Copies in backups are overwritten within eight weeks. Technical records with a pseudonymous account code are removed within 45 days. Some records may need to be kept where law, security, fraud prevention or legal claims require it. If you cannot log in, write to hello@flatfee.one from the address you used, and a person on our team does it within one month.

The statistics about use are tied to your account, because the daily limit is counted per account. Technical error reports are deleted automatically after 30 days. Chats that the app has saved on your own computer stay there until you delete them in the app. If you come back later you need a new invitation, and you can sign up again.

How Fee learns.

Fee counts which features you use, whether you give an answer a thumbs up or down, whether an answer seemed to work, and errors and response times. This is on by default.

We do not add your account, your email address or your IP address to the counts, and we do not try to link them to you. Because we run the service ourselves, we still treat them as personal data and protect them accordingly.

Why we do this: it is in our legitimate interest to make Fee better and safer (Article 6(1)(f) of the GDPR). You can object at any time by turning it off in Settings. Then we stop saving new counts from you, and our server discards any that are still sent.

How long: single rows are kept for 45 days. After that only daily totals remain, for up to 400 days, with nothing that points to a person.

If you report a problem, or choose to send more after a thumbs down, that is covered by the section “If you report a problem”.

Your rights.

You have the right to know what data we have about you, to have it corrected or erased, to restrict the processing, to get your data in a readable format, and to object to processing that is based on our legitimate interest. Where we rely on your consent, you can withdraw it at any time, and that does not affect what we did before. Write to hello@flatfee.one to use your rights. We answer within one month. For complex requests we may need up to two more months, and then we tell you why within the first month. You can complain to the Swedish Authority for Privacy Protection (Integritetsskyddsmyndigheten, IMY). If you live in another country you can also contact your own data protection authority, for example the AEPD in Spain or the ICO in the United Kingdom.
